Privacy Information

We will treat all your personal information as private and confidential and not disclose any data about you to anyone other than the leadership and ministry overseers/co-ordinators of the church in order to facilitate the administration and day-to-day ministry of the church.

There are four exceptional circumstances to the above permitted by law:

  • Where we are legally compelled to do so
  • Where there is a duty to the public to disclose
  • Where disclosure is required to protect our interest
  • Where disclosure is made at your request or with your consent

What Information Do We Hold?

The information you give us. This can be when you are filling in forms on our website, on a Sunday, signing up to events and communicating with us by phone, email or letter. The information you give us may include your name, postal address, e-mail address, phone number, financial and credit card information and/or personal description. We also collect statistical/observational data, to gain a better understanding of church demographics and attendance.

If you are a SWLV employee or volunteer we may also hold certain categories of sensitive information such as personal financial details, age, sex, marital status, date of birth, full employment and educational history, references, medical and criminal records.

We also hold information we receive from other sources. This can include third parties who work closely with us including, for example, business partners, payment and delivery services and search information providers. For more details of our third party processors, please email mail@swlv.org.uk.

How Will We Use Your Personal Information?

We will use your data for three main purposes:

  1. The Day-to-Day Administration of the Church. Example – pastoral care and oversight, including calls and visits, preparation of ministry rotas, maintaining financial records of giving for audit and tax purposes, Disclosure and Barring Service checks on volunteers, training.
  2. Contacting You to Keep You Informed of Church Activities and ad hoc Events. Example – mailings of event details.
  3. Statistical Analysis Example – gaining a better understanding of church demographics. Although collated church data may be passed to a third party (e.g. Vineyard Churches UK & Ireland), such as the number of Small Groups we run or House Group attendance, no personal data will be disclosed.

We maintain accurate and up to date records of individuals where possible and do not keep any non-essential data.

As referenced above, we may pass on your details to third parties where there is a legal requirement to do so, for example in the processing of DBS applications. We maintain a close relationship with these third parties to ensure that your data is treated in accordance with this privacy notice.

Where Do We Store Your Personal Data?

We are committed to holding your personal information securely. Only SWLV staff and/or volunteers that need to see the data can access it.

a) We may store your information on computers, in paper form, or both.

b) All computers that store any personal data are password protected.

c) Any paper files that hold personal information (other than names and contact details) are kept on secure premises in locked filing cabinets.

d) All information that is not essential is deleted or destroyed.

The data that we collect from you is stored on our secure servers. We work closely with the third parties who process some of your data to ensure that your data is processed securely, in accordance with this privacy notice and in compliance with all relevant UK data protection legislation. Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try and prevent unauthorised access.

What Is Our Legal Basis For Processing Your Data?

Our legal basis for processing personal data is different depending upon the purpose it was collected for. The following list covers the main types of data that we hold. For a full list please contact mail@swlv.org.uk.

a) Data collected and stored on our database (with the exception of electronic marketing communications) is processed and held according to our legitimate interests or because of a contractual obligation to do so.

b) Data processed as part of electronic marketing communications are processed according to the consent given by the individuals.

c) Employee or volunteer records are processed to comply with legal and contractual obligations, to fulfil our legitimate interests as a church movement.

In line with our charitable objectives, our legitimate interests for processing your data are for the advancement of the Christian faith and relief of poverty. All of our activities, and the way we use your data as part of these activities, are to further these aims.

How Long Do We Hold Your Data?

The length of time that we retain your data will vary depending on the purpose for which it is processed. Data is only kept for as long as we have your consent to process that data. Any out of date or irrelevant data is deleted immediately.

Your Rights

Under EU legislation you have a number of rights about how your data is processed. Full details of your personal rights can be found on the Information Commissioner’s Office website – www.ico.org.uk

Your rights include the right to:

  • Request access to the data we hold about you,
  • Have inaccurate and incomplete data rectified,
  • Have the personal data we hold on you deleted (except where we are required to hold the data by law),
  • Restrict the processing of your personal data in certain circumstances

SWLV Website Data

The SW London Vineyard (SWLV) website does not automatically capture or store personal information. We use Google Analytics to log site visits, entry points, exit points, duration and pages visited. The information gathered is stored by Google and used by SWLV for system administration and to provide statistics, which SWLV uses to evaluate use of the site. For more information about how we use Google Analytics and other cookies please click here.
